Fee Estimator tool for AEC firms

Compare Top-Down & Bottom-Up Fee Approaches

CMAP allows you to start top-down (e.g. by entering the fee you think the project will yield or the budget the client has told you they have) or bottom-up (e.g. by budgeting for days or even building-out the resource profile).

Regardless of which way you start, the tool allows you to sense-check your approach whenever the appropriate time it reached e.g. by entering the resource profile to tell you if your top-down fee will give you the profit you're after, or by working back your bottom up fee to see what that would work out at as a % of construction cost—and everything in between.

Within each project you can use the following fee approaches for your stages:

Fixed Fee
The fee for the stage is a fixed sum, regardless of changes in construction value, how much time gets booked to the stage, etc.

Percentage / Cost Per Sq Ft/M
The fee for the stage is calculated using either a % of construction cost or cost per sq ft/m approach, meaning changes in construction cost can update the fee and, subsequently, catch up the difference on your future sales invoices.

Time & Charge
The stage will be run on a time & materials basis, with timesheet and personal expenses data used to drive billing.

Include Externals & Third Parties

The Expenses & Externals Schedule tool allows you to enter the non-time related elements of your fee.

These include agreed expenses budgets with the client e.g. for travel & accommodation.

As well as more traditional elements e.g. planning fees, sub-consultants fees, etc. 

Billing options give you the appropriate level of control. For example, "Bill as Scheduled" can be used for big budget items where you need to control how much, and when, you bill the client. Whereas "Bill as Incurred" can be used for things like disbursements and rechargeable expenses, when you simply want to recharge them to the client as you incur them.

Job Costing Data Informs Future Forecasts

The Fee Estimator tool isn't just a great tool for people in operations.

Job costing data is automatically taken from the database and included in projections for finance & senior management.

This enables you to combine your confirmed work with all of the potential future revenue you have in your pipeline.

What's more, stages are probability-weighted, meaning your forecasts are as accurate as you could ever hope for them to be.

Resource Schedule-AEC

Make Smarter Resourcing Decisions

Your resource budget is automatically pulled from the Fee Estimator tool through into the project's Resource Schedule tool, so you can see the impact resourcing changes has on your future profit estimate.

Better yet, you can use the Resource Schedule as your primary method of building the budget i.e. via the bottom-up approach. The beauty of this is that the project is already resourced, so all you need to do is select the relevant person to use the budget for the role.

It really is that slick and powerful.

Job Costing Data Feeds Invoice Schedules

Since CMAP has an awareness of (a) the fee for each stage and external and (b) when the stage is estimated to start & finish, it's able to use that data to auto-populate an invoice schedule.

You're free to then make any tweaks you wish, rather than key in the full invoice schedule manually from scratch. Of course, you can do that too, if you prefer.

CMAP pulls together all invoicing data across all your projects to give you highly accurate forecasts.

Track Budgets vs. Actual Performance

Job costing data is also automatically pulled from the Fee Estimator tool into the project's Budget vs Actual, meaning you're able to see how each of your stages is performing. 

Over time, as you build up more and more data in CMAP, you can start to spot trends e.g. how certain sectors perform, certain types of clients perform, even how certain stages perform, to feed back into the job costing process and make you more and more accurate with your profit estimates from the outset.
