Introducing CMAP For Outlook

If there's one application that you can guarantee your people are in every single day, it's email.

As part of our quest to make things easier and easier for our users, we've taken important functionality from the CMAP main web application and made it accessible in Outlook.

CMAP for Outlook is currently in beta with some of our existing clients, and will be launched live across all clients very soon.

The add-in enables you to:

  • View company and contacts data from CMAP in Outlook and create contacts from Outlook in CMAP.
  • Complete CRM activities and schedule new follow-up activities.
  • View existing leads and opportunities and create new ones - without having to leave Outlook.
  • Save copies of emails against contacts, as well as against specific leads and projects.
  • Complete and submit your timesheets.
  • Request and manage time off.

Complete and Submit Timesheets

CMAP For Outlook boasts access to the weekly timesheet, meaning users will be all out of excuses for falling behind in submission.

The functionality has been tweaked to be optimised for a slender portrait layout, and is shared with CMAP Go to feel nice and familiar.

Being just as simple to use as the main web application, it helps encourage people to keep on top of their timesheet. 

The end result is making sure you've got as accurate a picture as possible on the state of play on your projects.

View Contact and Project Data

CMAP data is automatically pulled into the add-in, giving you:

  • Contact data - the company they work for, their job title, etc.
  • Activities data such as upcoming sales and follow-up actions you or other colleagues have with the contact.
  • Leads and opportunities data - potential business that your company is in pursuit of.
  • Live project data, including the number and value of projects you're running with them right now.

The power of this can not be underestimated. For example, visibility of the volume and value of potential business may fundamentally influence the email you were about to send to the contact.

Save Sent and Received Emails

CMAP For Outlook allows you to save copies of emails sent and received through Outlook in CMAP. 

Emails can be saved at a general-level against the contact, or - and this is key - to specific leads and projects, with just a single mouse click.

This can prove very handy for a number of reasons. For example, if the client agrees to additional chargeable services via email, you can save a copy of that email against the project in CMAP ready to reference in the event of non-payment issues further down the line.

No more email trawling or needle-in-haystack searches.

Activities Prompt Action

CMAP's powerful in-built CRM functionality pushes activities into Outlook.

The most common use case for activities is sales follow-up. Users are prompted to action their follow-up activities in Outlook, and they can also set new follow-up activities as opportunities progress.

Other use cases include managing internal duties. Through CMAP's Activity Templates functionality, you may have "Project Initiation" responsibilities to complete; uploading the signed contract to the project folder, registering the project with the insurance company, and so on.

However you use activities, CMAP For Outlook helps make them a slick and well-oiled machine.

Create Contacts in CMAP

As new contacts make themselves known to your universe, it's crucial they make it into your CRM.

CMAP For Outlook makes this easy.

When the add-in is unable to find a match in CMAP, it allows you to create the contact record without having to leave Outlook.

Once the contact is created, you can then take advantage of the key functionality such as creating leads for them, saving their emails and so on.

Create Leads in CMAP

A lot of new leads originate from email: "Hey, we're thinking of doing x, y and z - wanted to put it on your radar."

Rather than leaving Outlook, opening a separate CRM, then manually creating a record of the lead, with CMAP For Outlook you can simply create the new lead within Outlook.

Its timeliness and simplicity means people are more inclined to actually do it, even for super-speculative leads that previously may have felt like too much hassle to create.

The end result is more leads get into the system, there's more follow-up activity, and wins become more regular and consistent.

Manage Time Off

The add-in displays your allowance and how many days/hours you have still have available to use.

Those that have already been deducted from your allowance are listed in the Upcoming Time Off section, so you know exactly where you're up to with requests.

Making a request is as easy as 1-2-3:

1 - Click "Request Time Off"
2 - Set the Start Date and Duration
3 - Click "Request"

It couldn't be simpler.

CMAP For Outlook has been designed and developed by our in-house engineering team.

We wanted no restrictions on your people using the add-in, and so have built it to be compatible with:

  • Outlook for Mac
