Different Billing Approaches

CMAP comes with a variety of billing methods that can be used on a per project basis.

"Fixed Fee" billing allows you to bill an agreed sum in whatever profile and timeframe you need e.g. 50% upfront and 50% on completion.

"Time & Materials" billing allows you to choose the timesheet entries & expense items you wish to charge to the client, and turn them into a monthly invoice.

"Recurring Fees" billing allows you set up regular payments e.g. for monthly, quarterly, annual, etc. services or subscriptions.

We make sure you get the right fit. If it turns out one or more of these approaches aren't relevant, we can simply switch them off so your team can only see & choose from appropriate workflows. No clutter.

Billing for fixed fee projects couldn't be simpler.

CMAP's alerts ensure the full fee value of your projects are accounted forto the pennyacross all invoice schedules, meaning nothing slips through the cracks.

It's flexible enough to to handle a variety of approaches e.g. flats-spreads and milestone-based payments, etc.

Approval & creation workflows can be operationally or centrally-driven, whatever your preference e.g. project managers approve, finance create.

Fixed fee billing gives you sky high levels of adaptability, whilst not compromising on control, meaning your cashflow projections are as accurate as you could ever hope to be.

Time & Materials Billing

Time & materials billing is all about getting time, expenses & purchases-driven sales invoices out—fast!

Project rate cards determine the sell rate for time, so you can have total confidence bill clients the agreed rate for each resource. Simply select the time you want to bill, and write off the time you don't e.g. time spent selling an expansion of services.

Once you're happy with the time, move on to choose the expenses & purchases you want to recharge to the client on the invoice.

With features like expense multipliers (e.g. incurring an expense of $100 and recharging it to the client at $115), client PO tracking (i.e. making sure the value of invoices to date and projected future costs doesn't exceed the value of the PO)—and more!—you can be confident CMAP has the tools to please your finance team come month end.

Recurring Fees Billing

Recurring fees billing is ideal for companies that have—or want to grow—predictable revenue.

When you set up a recurring fees project, you set-up the agreed fee and how regularly you're going to bill it e.g. quarterly, bi-annually, annually, etc.

This instantly flows through to your sales invoice projections and triggers alerts at the correct time.

What's more, you can set hourly rates for ad hoc services, giving you the ability to make sure you don't just get paid for the core service, you also get paid for the additional out-of-scope time too.

As ever, CMAP's dashboards & reports give you complete control of the sales invoicing process.

Out-of-the-box dashboards include:

  • My Scheduled Invoices:  Alerts operational users that they have invoices scheduled this month
  • Invoices Due For Creation:  Alerts finance users that there are approved invoices that need to be raised and issued

Out-of-the-box reports include:

  • Invoice Report:  Holistic overview of all sales invoices, whether scheduled, invoiced or paid
  • Invoice Calendar:  All raised and forecasted sales invoices across your financial year, including payment status

You get all of this—and more—as standard. Plus, with CMAP BI's Report Builder tool, you can produce custom sales invoice reports & dashboards.

GL & Accounting Packages

We're not precious about whether you raise sales invoices in CMAP or not. If you'd prefer to or are required to raise them in your finance system or elsewhere, that's fine.

If you can take advantage of CMAP's sales invoicing functionality, we can also help your finance team out by offering implementations or data transfer options with popular GL's and accounting packages e.g. MS Business Central, Sage, QuickBooks, Xero, etc.

These remove the need for finance staff to manually rekey data into the accounting package, which will not only make them happier, but also free their time up for more useful activities.
